This Privacy Policy outlines Ethos Dental Studio ("we", "our" or "the Clinic") practices with respect to information collected from visitors who access our Site at https://www.ethosdentalstudio.ca ("Site"), or otherwise share information with us through the Site (collectively: "Users").
This policy covers general website use only. The Site does not process health records, patient charts, insurance details, or client account information. If you become a patient, any health information you provide in the clinic is handled separately under our in-office privacy practices and B.C. health privacy requirements.
British Columbia's Personal Information Protection Act (PIPA)
We respect your privacy and safeguard personal information in accordance with British Columbia's Personal Information Protection Act (PIPA), which sets out the ground rules for how B.C. businesses may collect, use and disclose personal information.
This policy outlines the principles and practices we follow in protecting personal information collected through the Site, including ensuring its accuracy, confidentiality, and security, and allowing Users to request access to, and correction of, their personal information.
Scope of this Policy
This policy applies to Ethos Dental Studio, located at 8912 202 St #110, Langley Twp BC V1M 4A7, and to the general-use Site at https://www.ethosdentalstudio.ca.
It also applies to service providers who collect, use or disclose personal information on our behalf, such as website hosting and analytics providers.
When you use the Site, you consent to the collection, storage, use, and disclosure of your Personal Information as described in this Privacy Policy.
What information we collect
We collect two types of information.
1. Non-personal Information
Unidentified and non-identifiable information gathered via your use of the Site ("Non-personal Information"). This may include aggregated usage information and technical information transmitted by your device, such as browser type, operating system, language preference, access times, pages viewed, clicks, and actions taken on the Site. We use this to improve Site functionality.
2. Personal Information
Individually identifiable information, meaning information that identifies you or may with reasonable effort identify you ("Personal Information"). Through general use of the Site this is limited to:
Contact Information: full name, email address, and phone number, only when you voluntarily provide it through a contact form, appointment request form, or email signup.
Message Content: preferred contact method, preferred appointment times, and the general reason for your inquiry, only as you type it into a contact form.
Device Information: IP address, geolocation data, and unique identifiers related to your activity on the Site.
We do not collect health records, dental charts, insurance information, payment details, or account credentials through the Site.
How do we receive information?
When you voluntarily provide your details through a contact or appointment request form on the Site;
When you use or access the Site, including through cookies and analytics tools;
From third-party providers, such as traffic analytics vendors.
We do not rent, sell, or share Users' information with third parties except as described in this Privacy Policy.
Cookies
We and our trusted partners use cookies and other technologies when you visit our Site.
A "cookie" is a small piece of information that a Site assigns to your device while you are viewing a Site. Cookies allow you to navigate between pages efficiently, remember your preferences, and make interaction with our Site quicker and easier.
The Site uses:
a. 'session cookies' which are stored only temporarily during a browsing session and are deleted when the browser is closed;
b. 'persistent cookies' which are saved on your computer for a fixed period to remember your preferences for repeat visits;
c. 'third party cookies' which are set by other online services, for example third-party analytics companies who monitor and analyze web traffic.
Cookies do not contain information that personally identifies you, but Personal Information we store about you may be linked by us to information stored in and obtained from cookies. You may remove cookies through your device or browser settings; however, if you disable cookies, some features of our Site may not operate properly.
We use Google Analytics to collect information about your use of the Site, such as how often Users access the Site and what pages they visit. Google Analytics collects the IP address assigned to you on the date you visit, rather than your name or other identifying information. We do not combine this with personally identifiable information. Google's use of this information is restricted by the Google Analytics Terms of Use and the Google Privacy Policy.
Third party collection
Our policy only addresses information we collect. If you disclose information to other sites or parties across the internet, different rules may apply. We encourage you to read the privacy policy of each third party you interact with. This Privacy Policy does not apply to companies we do not own or control.
Policy 1 - Collecting Personal Information
1.1 Unless the purposes are obvious and you voluntarily provide personal information for those purposes, we will communicate the purposes for collection before or at the time of collection.
1.2 We only collect information necessary to:
Respond to contact and appointment inquiries;
Confirm availability and follow up on inquiries;
Send clinic information or oral health education you request;
Ensure a high standard of service;
Meet legal and regulatory requirements;
Operate, secure, and improve the Site.
1.3 We may disclose Personal Information to subcontractors who help operate the Site, such as hosting, analytics, and contact-form providers.
1.4 We may share Personal Information with trusted third-party providers in other jurisdictions for hosting and operating the Site, storing and processing information on our behalf, sending marketing materials where you have consented, and performing research, technical diagnostics, or analytics.
Policy 2 - Consent
2.1 We obtain consent to collect, use, or disclose personal information, except where authorized without consent as noted below.
2.2 Consent may be given electronically, in writing, orally, or through an authorized representative. It may be implied where the purpose is obvious and you voluntarily provide the information for that purpose, such as filling out a contact form.
2.3 Consent may be implied where you are given notice and a reasonable opportunity to opt out of mail-outs or marketing of new services, and you do not opt out.
2.4 Subject to exceptions (e.g., information necessary to respond to your inquiry, or where withdrawal would frustrate a legal obligation), you may withhold or withdraw consent. Withdrawing consent may limit our ability to respond to your inquiry. We will explain the situation to help you decide.
2.5 We may collect, use or disclose personal information without knowledge or consent only where permitted or required by law, in an emergency threatening life, health or security, where information is publicly available (e.g., a telephone directory), to obtain legal advice, to collect a debt, to protect against fraud, or to investigate a breach of agreement or contravention of law.
Policy 3 - Using and Disclosing Personal Information
3.1 We only use or disclose personal information to fulfill the purposes identified at collection, or a reasonably related purpose, such as responding to inquiries, sending requested information, and sending promotions where you have consented.
3.2 We will not use personal information for any additional purpose without consent.
3.3 We will not sell contact lists or personal information to other parties.
Policy 4 - Retaining Personal Information
4.1 We retain contact inquiry information only as long as necessary to respond to your inquiry, comply with legal obligations, resolve disputes, and enforce our policies.
4.2 Retention periods consider the type of information and its purpose, and we destroy outdated, unused information at the earliest reasonable time.
Policy 5 - Ensuring Accuracy
5.1 We make reasonable efforts to keep personal information accurate and complete.
5.2 You may request correction in writing with sufficient detail to identify the information and the correction sought. Forward requests to the Privacy Officer below.
5.3 If demonstrated to be inaccurate or incomplete, we will correct it and send corrected information to any organization we disclosed it to in the previous year. If no correction is made, we will note your request in the file.
Policy 6 - Securing Personal Information
6.1 We protect personal information from unauthorized access, collection, use, disclosure, copying, modification or disposal, including through user IDs, passwords, encryption, firewalls, restricted access, locked filing cabinets where applicable, and requiring comparable measures from service providers.
6.2 When destroying personal information we delete electronic records, destroy physical media, and shred printed documents.
6.3 We review and update security controls as technology changes. Although we take reasonable steps, we cannot guarantee against unauthorized access, and make no warranty that such access will be prevented.
Policy 7 - Access to Personal Information
7.1 You have a right to access your personal information, subject to limited exceptions under PIPA.
7.2 Requests must be made in writing with sufficient detail to identify the information sought, forwarded to the Privacy Officer below.
7.3 Upon request we will tell you how we use your information and to whom it has been disclosed, if applicable. You may request confirmation of processing, a copy in a structured, commonly used format, rectification, erasure, restriction, or to lodge a complaint with the Information and Privacy Commissioner of British Columbia.
7.4 We respond within 30 business days or provide written notice of extension.
7.5 A minimal fee may apply; we will inform you and seek direction before proceeding.
7.6 If refused in full or part, we notify you in writing with reasons and available recourse.
Policy 8 - Privacy Officer
8.1 The Privacy Officer is responsible for ensuring Ethos Dental Studio compliance with this policy and PIPA.
8.2 Direct complaints, concerns or questions in writing to the Privacy Officer. If unresolved, you may write to the Information and Privacy Commissioner of British Columbia.

Policy 9 - Changes to this Policy
We reserve the right to change this policy at any time by posting notice on this page. Check this page often, referring to the date below. If you object to changes, cease using the Site and request erasure, subject to legal retention requirements. The then-current policy applies to all personal data we hold about Site Users.
